We all know that family engagement is the secret sauce to student success, but between lesson planning and grading, sending that weekly newsletter or translating a permission slip often feels like one more thing that sets us over the edge.
What if this summer, you took a few hours to ensure that next year, family communication feels like a breeze next year instead of a burden? Take a moment to reflect on the following questions!

- How can I reach the families who don’t speak English as their first language without it taking an hour per message?
- How can I communicate a student’s quick win in 30 seconds rather than waiting for a formal conference?
We have a few ideas for you to level up your connection with families next year. The goal is for you to work smarter by front-loading your strategies now.
1. Automate Your Routine
- Create Template Newsletters: Instead of one big document, design individual blocks in Canva for common sections (e.g., What We Learned, Important Dates, Student Spotlight). When needed, simply drag in the specific information.
- Establish a Photo Drop Folder: Set up a dedicated folder in Google Photos or Drive. Throughout the week, snap 2–3 quick photos of student work.
- Batch-Schedule Your Posts: If your district app (like Remind or ClassDojo) allows it, draft and schedule your posts for the entire first month of school.
2. Break the Language Barrier
- Master the Google Translate Integration: Practice using the Google Sheets GoogleTranslate formula. You can create a master sheet where you type a newsletter blurb in English in Column A, and Columns B through E automatically translate it into the top four languages spoken by your families.
- Create Bilingual “How-To” Videos: Use a tool like Loom or Screencastify to create 60-second “How to use our class website” videos. Use the auto-captioning feature and translate the captions so parents can watch and learn in their preferred language.
- Audit Your District App’s Settings: Many apps like TalkingPoints or Seesaw have built-in, two-way translation. Spend 20 minutes this summer acting as a test parent to see exactly what the experience looks like on their end so you can troubleshoot for them in August.
3. Move from Reporting to Celebrating
- The Positive Phone Call Rotation: Create a simple spreadsheet with your class roster. Assign 2–3 students per week to a Celebration List. This ensures that by November, every single family has received one positive, proactive reach-out from you.
- Digital Good News Postcards: Design a set of 3–5 Quick Win digital postcards in Canva (e.g., Great Participation Today!, Awesome Problem Solving!). Keep these as high-quality JPEGs on your phone or desktop so you can text or email one to a parent in under 30 seconds.
- Automated Form Feedback: Create a Google Form where you can quickly check a student’s name and select a positive behavior from a dropdown menu. Use an add-on like Autocrat to automatically generate an email to the parent when you hit Submit.
